 Who is responsible for publishing

  • the Minutes of the November 18, 2025 Annual Meeting of Voting Members*?
  • the Minutes of the November 18, 2025 Board Meeting?
  • the Minutes of the 2025 Organizational Meeting** of the Board? (Should have been held on November 18, but was held on December 1.)
  • the Minutes of the December 2, 2025 Board Meeting?
  • the Financial Operating Results for September and October 2025. (The November 2025 Results should be available at the January 6, 2026 Board Meeting.)
  • the 2024 Annual Report?
  • the 2023 Forensic Internal Audit?
  • the 2023 Forensic External Audit?
  • the names of the Directors and their terms-of-office on the HOA's website?
  • the names of the Officers of the HOA on its website?

If any of these are still outstanding when the Board Meeting starts on January 6, will they be listed under Old Business?

* This may be the most-important meeting of the Association, because 3-4 Directors are elected at this meeting.

** This is the board meeting at which officers are elected by the Board. Officers are to be elected at the first board meeting following the Annual Meeting of Voting Members, which was November 18 at 6:30PM. [Reference: By-Laws, Art. III, §B, ¶8 and Art. IV, §2.]

Officers should be elected at an open, public, Monthly (or Special***) Board Meeting, not in a closed, private, secret, unreported workshop or pre-board meeting.

*** Officers should not be elected in a Special Board Meeting. "The reason for special meetings is to deal with matters that may arise between regular meetings and that require action before the next regular meeting, or to dedicate an entire session to one or more particular matters." [Robert's Rules of Order, §9:13]

Election of officers is not something that is a surprise or that cannot be planned for a Regular Meeting.
