June 3rd BOD Meeting now Closed to Members

The HOA office sent out an email at 3:29PM that read, in part,

Due to Brookland Baptist Church being unavailable to accommodate the scheduled Board of Directors meeting on June 3rd, the meeting will now be held at the Summit Association office.

Please note that space is limited at this location; therefore, only Voting Members and Committee Chairs will be invited to attend in person.

One would think they would splash a message on the homepage of the HOA's website and change the location in the Calendar on the website; but No to both. 

This last-minute change is highly adverse to the interests of the Members of the Association. The HOA must have some deal with Brookland Baptist Church Northeast for the rental of the meeting room. The dates must be arranged for the year. The HOA makes a "donation" to the Church for the use of the room.

It's actually not a "donation", because the HOA receives something of value in exchange; i.e., the use of the meeting room. 

What is happening at the Church that prevents the HOA from meeting there? When did the HOA first learn of this non-availability? 

Did the HOA Property Manager contact North Springs Recreation Center about space availability? Did the Property Manager contact Richland 2 or the Library about the use of a meeting room or even the third-floor auditorium? What about space at the Richland 2 Performing Arts Center?

Did the HOA Property Manager contact any other churches, schools, or businesses about a meeting room? School is out; certainly, Richland 2 has space available at Summit Parkway Middle School, Rice Creek Elementary, or Ridge View High School. Or was she told not to?

Did the powers-that-be think,  "You know? If we just have this meeting in the tiny HOA meeting room, then all those pesky homeowners won't be there to moan and groan about what we, the Board, are doing (or not doing)?"

Several important items should be on Tuesday's Agenda*:
  • announcing the resignations of Ciara Bates, Secretary, and LaToya Adams, Treasurer;
  • appointing a board member who will review the Minutes of the meeting for accuracy and completeness;
  • discussing successors to Ciara Bates and LaToya Adams. Inviting Members to apply;
  • the removal of Patricia Pollin from the Board;
  • will Danny Trapp be forced to resign as President?
  • electing a Secretary and a Treasurer, if a quorum (4 directors) is present;
  • discussing why the February 2025 and March 2025 Financial Operating Results have not been posted to the HOA's website;
  • discussing why the May 2025 Board Meeting  Minutes have not been posted to the HOA's website;
  • discussing why the 2023 External Forensic Audit has not been posted to the website;
  • discussing why the 2023 Internal Forensic Audit has not been posted to the website;
  • discussing the status and amount of bills from the HOA's law firm for the lawsuit against Gus Philpott;
  • discussing the operation of the HOA office with only one CAMS employee. CAMS employee Jenn Woodley left;
  • getting a plan in place, in event that Teresa resigns from the CAMS office position;
  • Status on prohibition on trampolines.
Will this important meeting be broadcast on Zoom or Facebook Live?

Doesn't the HOA have a back-up plan for last-minute meeting location changes? 

* Meeting Agendas normally do not include any items under Old Business and New Business. This is a serious defect in meeting organization.
