Board Meeting - Tuesday, July 1, 6:30PM
The next Board of Directors meeting will be Tuesday, July 1, 6:30PM, at the Brookland Baptist Church Northeast, 1203 Summit Parkway.
What should be on the Agenda?
1. Eligibility of Patricia Pollin to be on the Board. She was not eligible when she was appointed in November 2023, and she is not eligible now. She should voluntarily step away from the Board. If she doesn't, the first order of business should be to remove her.
2. The Board should declare the vacancy.
3. The Board should appoint two qualified, solid candidates to fill the unexpired board terms (2024-2026) of Ciara Bates and LaToya Adams. Both had been elected in November 2024, and both resigned in May 2025.
4. The Board should receive a general update on the status of the lawsuit against Gus Philpott (me). While lawsuits are typically considered confidential, I waive that confidentiality, so that the Board can discuss and explain to Members
A) how the HOA started the lawsuit in the first place, since Art. XIII, Section 10 of the CC&Rs expressly prohibits it;B) why the Board did not get the approval of 75% of the Voting Members;C) why the Board did not ever vote to approve the lawsuit;D) why the Board never appointed Danny to deal with the lawyers regarding the lawsuit;E) how much the law firm has billed so far on the lawsuit;F) how much the lawsuit is ultimately expected to cost the HOA.
5. The Board should request a report from the Neighborhood Committee about how many neighborhoods it is working with to schedule Neighborhood Meetings for the purpose of electing legitimate Voting Members. The chair should also name the other members of that Committee.
6. The understaffing of the office should be discussed.
7. The status of a search for a new management company should be discussed. The CAMS contract ends on December 31, 2025. Has the relationship with CAMS been irreparably damaged? Who is handling the RFPs? Who will receive closed bids?
8. Is there a chair of the Nominating Committee? None is shown in the June 2025 Summit Scoop. The HOA's website lists an ineligible Board member as the chair. A chair was not appointed at the November 2024 Organizational Meeting, as required by the Governing Documents. No Minutes have been published for that meeting.
